Running a Background Check Request:

1.From the Contacts Page, make sure you don't already have any contacts selected (Check the # selected in the bottom right corner - it should say 0 Selected)

*If you've got people selected, you can clear those by selecting Current/Unsaved Selection in the drop down box on the top right, & then clicking the purple Clear button


2.Once your selection is clear, search for the contact(s) you are requesting a background check for. 

*If you can't find your contact, try searching under a different name (i.e. Kathrine vs. Kathy, or middle vs. first), or search by phone# or email address

***If you can't find your contact in MP use the Add/Edit Family Tool to add them in (see below for instructions on using the Add/Edit Family Tool)


3.Click the checkbox next to their name to select them 

*make sure they have an email address attached to their record - if not you'll need to add it in (use the Add/Edit Family Tool)

*If you have more than one person you want to request, you can search for & select them all before you run the tool




4.Go to Tools & run the Background Check Request Tool




5.Verify your list of people & select their names 



6.Select the Ministry & Background Type (there is only 1 option for this)




7.Click Create Background Requests

*You should get the following message:  All background requests have been created and are ready to be filled out.


8.Now select your people again & click Send Emails  (a link will be emailed to each contact with the background check form)



To Check the status of a background check:

1. From the contacts page, search for and select your person/people you are checking on

2. Run the Background Check request Tool

*The tool will tell you if/when each person submitted their form & when submitted it will give you the status (i.e. "Background Check Awaiting Decision" or "All Clear")


Results & Notifications:

Email status notifications will go out on Wednesdays for any user who has submitted a background check request. If you don't get an email notification there is nothign to see ;)

There are four list in this email:

  1. Returned Clear (happened in the past 7 days, will disappear next week)
  2. Returned Not Clear (happened in the past 7 days, will disappear next week, requires action)
  3. Not Yet Submitted (initiated by the user, but the person has not taken steps to complete and submit their backgroundcheck request, These items will continue to appear until the person completes and submits them or the user takes some other action)
  4. Pending (initiated by the user, person has submitted, Protect My Ministry (henceforth referred to as PMM) has not yet returned.  These items will likely appear next week under one of the returned categories)
Please note that "not clear" could mean that the background check needs review in PMM.  MinistryPlatform doesn't mark someone "not clear".  It is up to a human being to mark the background check as "not clear" after they review what happened in PMM and determine the person should not be allowed to serve.  If the thing reported by PMM would not prevent the individual from serving, then they might take that item returned and mark it :"all clear = true".


***Using the Add/Edit Family Tool

1) From the Contacts Page go to Tools > Add/Edit Family Tool



2) Search for your person: Last name, First name


3) Click 'Add New Household'

4) Enter in as much info as you can on your person (red * = required) and hit 'Save'

-- Household Position = Head of Household for husband & wife & minor or adult child for the children

-- Participant Type = Guest
