iPad Check-In Overview

  • Detailed Setup: For full hardware configuration and password steps, refer to the Configuring Check in on IPads for Events document. *Check in opens 240 minutes prior to event start time for setup and testing (3pm)

  • Quick Check-In:

    • Registered/Existing Students: Search by phone number or Last name, first name on the check-in screen.

    • New Students: Direct them to fill out the College Registration Tool

Chatbot Data Integration

Purpose: Updates missing school details for students already in MinistryPlatform (MP) without manual staff entry.

  • Student Steps:

    • Student texts School to initiate the auto-responder.

    • Chatbot asks for Name, Phone, Email, School Type (Middle, High, College/Tech), School Name, and Graduation Year.

  • Automated Workflow:

    • Responses are matched to student profile

    • Updates the college and college graduation year fields automatically

College Engagement View in MP

Access the central student roster via the College - Engagement View in MP to track involvement:

  • Filter: Set to the 18–22 age range and excludes current high school seniors.

  • Key Columns:

    • College: Displays the school name captured from the chatbot or registration tool.

    • College Graduation Year: Tracks expected graduation dates.

    • Attendance Metrics: Tracks 1st College Attendance, 2nd College Attendance, and Last College Attendance.
